Jobs: creating, assigning, and what each status means
Who this is for: coordinators who create and dispatch jobs, and technicians who work them.
A job is one scheduled visit to one building.
Creating and assigning a job
- Open the building, go to its jobs tab, choose new job.
- Pick the kind of job: Annual inspection, Biannual, Six-monthly, Monthly, Ad-hoc callout, Re-inspection, or Asset register.
- Pick the primary practitioner: the technician who leads the job. They will get an email ("New job assigned") and the job appears in their list.
- Set the dates: a single day, or multi-day for jobs spread over separate dates. Dates are entered DD/MM/YYYY.
- Create it.
What each status means
A job moves through four statuses, forward only:
- Draft: set up but not started.
- In progress: the work is underway.
- Awaiting sign-off: the inspection work is done and the statement is waiting on review by the accredited person.
- Final: reviewed, finalised and locked. A job at Final does not change again.
The coordinator's view and the technician's view
Admins and coordinators see every job in the organisation on the Jobs page. Technicians and junior technicians see only the jobs assigned to them, and their dashboard shows today's and tomorrow's jobs. So if a technician says "I can't see that job", the first thing to check is who it is assigned to.
Statuses only move forward, there is no moving a job back a step. If a job was set up against the wrong building or finalised by mistake, email [email protected] and we will sort it out with you. Reassigning or rescheduling a job emails the technician automatically, so no separate heads-up is needed.
