Getting started: your organisation, your team, and the dashboard
Who this is for: the first person from your company using Pump House, usually the owner or office admin.
Pump House keeps everything about your fire safety work in one place: your buildings, what needs inspecting at each one, the jobs to do it, any defects found, and the annual statement at the end.
Your account and organisation
Accounts are set up by invitation at the moment. If you do not have one, email [email protected] and we will set you and your organisation up with you. Your organisation's name is the one that appears on your annual statements, so get it right at the start. You can update your organisation details (name, ABN, billing email, branding) on the People page; article 12 covers this.
Your team
On the People page choose Send invite, enter your teammate's email address and pick their role.
Invitation emails are coming shortly. Until they ship, the person appears under "invited but not yet accepted" and no email goes out, so tell us at [email protected] and we will get your teammate signed in with you.
The roles in plain words:
- Admin: everything, including people, organisation settings and invoices.
- Coordinator: runs the office side, buildings, jobs, quotes, invoices and reports.
- Technician: does the inspection work, and sees only the jobs assigned to them.
- Junior technician: like a technician, sees only their own jobs.
If you run the business alone, you are the admin. The first time a solo account invites a teammate, Pump House asks you to re-enter your password. That is a safety check, not a fault.
Your first building
Open Buildings from the menu and choose new building. Article 4 walks through it.
What the dashboard is telling you
The dashboard changes with your role.
Coordinators and admins see a strip of overdue items across the top (anything past its due date, in red) and tiles underneath:
- Active buildings
- Inspections this week
- Jobs needing dispatch
- Defects awaiting resolution
- Reports awaiting sign-off
- Recent reports sent
- Compliance status by building
- Today's schedule per technician
Read it top left to bottom right: the strip is what is late, the tiles are what is coming.
Admins also see a row for the business itself: active users and seats, recent invoices, and system health.
Technicians see a simple list: today's jobs, tomorrow's jobs, recent defects, and notifications.
