Defects: raising one, what happens next, closing the loop
Who this is for: technicians who find faults, and the office people who chase them.
A defect is a fault found during an inspection that needs fixing.
Raising a defect
- From the job, add a defect.
- Choose its classification: Critical, Non-critical, Non-conformance, Required re-inspection, or Recommendation. Which one applies is the technician's professional call under AS1851, the servicing standard. Pump House records the classification you choose; it never decides it for you.
- Describe the fault (required) and say where it is: level and room.
- If you can, link the measure and the asset it belongs to, and the AS1851 table and item reference if you know it.
- You can add a repair cost estimate. It is entered before GST and the GST is shown automatically. This feeds quoting later and can be left blank.
What happens next
The defect appears against the building and the job, and it counts in "defects awaiting resolution" on the office dashboard, so it stays visible until dealt with. Photos can be attached as evidence. If details change, edit the defect.
Closing the loop
When the fault has been fixed, the defect is marked resolved. A resolved defect shows a resolved badge and keeps a record of who resolved it and when. If the fix needs to be verified on site, create a Re-inspection job for the return visit.
